About this policy
This policy describes information handled through the Otisfield Historical Society website. You can browse our public collections without creating an account.
Contact messages
When you use our contact form, you provide your name, email address, inquiry subject, and message. We use that information to respond and manage your inquiry. Messages are delivered through Twilio SendGrid to the Society's email inbox. The form also uses a hidden spam-check field and submission timing to help reject automated submissions.
Please do not include passwords, payment details, or other sensitive information in your message. Correspondence may remain in our email records as needed to follow up on research, visits, donations, or other Society business. Contact us if you would like us to review or remove a message; some records may need to be retained for ongoing business or legal obligations.
Spam protection
Our contact page uses Google reCAPTCHA Enterprise to help detect automated or abusive submissions. Google may process browser and device information, IP addresses, cookies, and interaction signals for this security check. Our server sends Google the reCAPTCHA token, the contact action, and your browser's user-agent information to assess the submission. We do not include your name, email address, subject, or message in that assessment request.
Submissions must pass the security check before email delivery. If the check cannot complete, you can contact us directly by email. See Google's Privacy Policy and Terms of Service.
Newsletter subscriptions
Our newsletter signup sends your email address to Mailchimp, where you complete your subscription. Mailchimp manages our mailing list and newsletter delivery. You can unsubscribe using the link in a newsletter. See Mailchimp's privacy information for its processing practices, including email engagement information.
Google Analytics and cookies
When enabled, we use Google Analytics to understand how visitors find and use the website. It can collect information such as pages visited, referring websites, browser and device details, approximate location, and interactions with the site. Google Analytics uses cookies and similar identifiers to measure visits. Our website configuration disables Google signals and advertising personalization signals.
We do not intentionally send contact-form messages, names, email addresses, or newsletter signup fields to Google Analytics. Please avoid putting personal information into website URLs or search fields. Analytics settings and browser tools can affect what information is collected.
You can block or delete cookies in your browser, use tracking protection, or use Google's Analytics opt-out browser add-on. Blocking analytics does not prevent you from browsing our collections. Learn more about how Google uses information from sites that use its services.
Hosting and service providers
The website is hosted on Vercel. Hosting and delivery services may process technical information such as IP addresses, request details, and security logs to serve pages and maintain the service. Our email, newsletter, hosting, and analytics providers handle information under their own service terms and privacy policies. Their processing may take place outside your state or country.
Historical records and external links
Public archive records may contain names, photographs, and other historical information about people. Please contact us with concerns about a record, an identification, or your rights in an image. We will review the material and the circumstances of your request.
Following a social-media or research link takes you to another service with its own privacy practices.
